AI Sales & Customer Service: Helpful Answers, Human Oversight
Separate preparation, advice, and action
A meeting brief, a product recommendation, and an order change have different consequences. Start with preparation: organize verified facts and questions for a person to review. Add customer-facing advice only when the source information and handoff are reliable. Treat messages, purchases, refunds, and account changes as separate actions with explicit permissions.

Define the answer boundary
Give the assistant approved product facts, policies, and current account information only where access is appropriate. State what it must do when information is missing or contradictory. “I need a person to confirm that” can be the right answer. A friendly tone is useful; false certainty is not.
| Situation | Expected behavior |
|---|---|
| Known question with a current source | Answer and identify the supporting information |
| Missing or conflicting details | Ask a clarifying question or hand off |
| Request to change an order or account | Verify permissions and review the proposed action |
| Tool failure or repeated request | Preserve context and avoid duplicate actions |
Test the uncomfortable cases
Include expired promotions, unavailable products, ambiguous names, unsupported promises, and requests outside the assistant’s role. Check that the human handoff carries the customer’s question and the relevant context. Do not make the customer restart the conversation just because an automated answer failed.
Measure more than speed
Track correct answers, successful handoffs, correction effort, complaints, and the business outcome you intended. Faster replies are not automatically better replies. Review a sample of completed interactions, including cases that appeared successful, before expanding the rollout.
